As part of the registration process, Grace Art Camp families are asked to agree and sign a Waivers and Policies form:
Cancellation and Refund Policy 2025 – If parents/guardians need to cancel their camp session/s, a full tuition refund, minus a $30 administration fee, can be made if parents/guardians notify Grace Art Camp on or before November 1, 2025 (for Gathering & Giving and Winter Peace Camps). We are sorry, we cannot make refunds after November 1, for individual days not attended, or for an officially ordered closure of any kind. In the unlikely case of an ordered closure, we can offer a full donation tax receipt. Thank you for your understanding.
General Waiver – Should any illness or injuries occur during or as a result of participation in a Grace Art Camp activity, parents/guardians agree to indemnify and hold harmless Grace Institute, Grace Memorial Episcopal Church, the Diocese of Oregon and all their employees and volunteers.
Emergency Medical Authorization – Parents/guardians give Grace Art Camp permission to seek medical attention, including medical or surgical treatment, for a camper in case of an accident or emergency. Parents/guardians agree to provide a reachable contact number and understand that every effort will be made by Grace Art Camp staff to contact them and/or the emergency contact person in the event of an emergency. Authorization for each camper is valid only for the assigned and attended week of Camp.
Pick up Authorization – Parents/guardians authorize the designated pick up person (at least 18 years old) to pick up or deliver their camper(s) to Grace Art Camp. Parents/guardians understand that if they, or the person named, are unable to pick up the camper, they will provide written permission to authorize another adult to pick up their camper. Under no circumstances may campers leave camp without an authorized adult; campers may not walk or bike home without an authorized adult.
Camp Hours – 9:00 am to 3:00 pm, M – F. Campers not picked up by 3:10 pm will be taken to Extended Hours and charged accordingly ($30 per afternoon). Campers must be picked up by 5:30 pm.
Illness – All campers should be able to enjoy camp safely, so it is important to keep campers home when ill. If a camper becomes ill at Grace Art Camp, parents/guardians understand that Grace Art Camp Staff will call the parent/guardian listed and then the designated emergency contact if a parent cannot be reached. Campers who develop a fever, throw up, or present other serious symptoms must go home. Campers may only return after remaining symptom-free for 24 hours.
Medication – Any medication taken by campers at Grace Art Camp must be administered by a member of the Grace Institute year-round team. Requests to administer medication to a camper must be made by the parent/guardian by filling out a medication form.
Behavior – GI staff will address behavior issues with care and compassion. If a camper engages in seriously disruptive behavior, I understand that Grace Art Camp Staff will call the parent/guardian listed and, if unreachable, the designated emergency contact. Any camper who kicks, scratches, bites, hits, bullies, or uses abusive or profane language will be removed from camp activities and may be sent home. Return to camp will be contingent upon a conference with parents and camper.
Photographs – Campers and their art may be photographed during camp by Grace Art Camp photographers. Photos may be used for purposes such as the GI website, brochures, grant applications, or similar Grace Institute/Grace Art Camp promotional materials. (Please note that due to the nature of social media, we are not able to control images or videos taken by parents.)
Registration Policy 2025
- My camper is at least 4-years old by March 24, 2025, and accustomed to a full day program, or less than 13-years old during camp .
- I agree to register my camper for only ONE SESSION of camp, either a full week or a Mini Camp.
- I understand the last day to cancel with a refund is November 1, 2025 (for Gathering & Giving and Winter Peace Camps).
Email List Policy
Camp Families are automatically added to our email list for information about camp deadlines, and news about upcoming classes and events. Email addresses are not shared beyond Grace Institute.
